Volunteer Job Descriptions
Set up (home meets only): Responsible for setting up the meet equipment the night before. Volunteers meet around 8:45 pm at the pool to set up.
Setup includes:
- moving and installing starting blocks
- lane lines
- flags
- tents
- clerk of course area
- table worker/ribbon writer areas. Please note- Heavy lifting is involved.
Take Down (home meets only): Responsible for taking down the meet equipment the immediately after the meet. After the meet, volunteers spend about 1 hour taking down and storing the equipment.
Announcer (home meets only): Responsible for announcing start of events, swimmers to clerk of course, meet scores, etc. during the swim meet.
Hospitality (home meets only): Delivers water to timers and officials and fills in where needed.
Heat Winner Ribbons (home meets only): Determines winner of each heat and hands out the heat winner ribbons and candy.
Concession workers: (home meets only): Includes various jobs before and during the meet to include set-up, serving of food, payment, and cleanup.
Merchandise (home meets only): Sells Shipley’s Dolphins Merchandise and Spirit Wear.
Bagel/Donut/Chick-Fil-A/Ice Runner (home meets only): Picks up Chick-Fil-A order, donuts, bagels and ice at 6:30am the morning of the meet and delivers them to the clubhouse. A second pickup will be mid-morning. Specific instructions time-line will be provided prior to meet.
All expenses will be reimbursed at the meet.
Table Worker/Computer Ops: Before the meet, Computer Ops volunteers work with volunteers from the opposing team to finalize entries and meet programs for the coaches and officials, and print all heat sheets used to run the actual meet events. During the meet, Table Worker volunteers double-validate results for swimmers & data enter their times into the TouchPad software. They then post the results for families. After each event, Computer Ops volunteers compile results and update pool/team records. This information is considered the official record of the meet and is signed off on by the Meet Referee and Team Reps at the end of each meet. This position is in the shade.
Timer: Responsible for using a stopwatch and recording times of each swimmer during their session of the meet. Many of the timers are provided by the guest teams. Three timers are needed for each lane. This responsibility is split between the home and away teams.
Runner: Picks up the time sheets from the timers and brings them to the table workers.
Ribbon Writers: Stick labels to ribbon awards and files them for the coaches to distribute.
Clerk of Course: Swimmers report to you (tent). You are responsible for lining the swimmers up in heats for events. Swimmers then move forward to the next row as heats progress and are walked up the blocks for their event.
The littlest swimmers require a lot of assistance to stay in order and move but the older swimmers are able to keep track of themselves.
